For the Project Management Office Support department within our partner HP, we’re currently looking for Project Management Office Administrator.

Objective:
1. Provide administration support to Project Management Office (PMO), Project/Tower Leads, Transition and Transformation Managers
2. Responsible for updating and maintaining contact lists, PDL’s (Public Distr. List) grant access to SharePoint sites, sending the welcome package to new comers, monitor the PMO mailbox
3. Logistic responsible for arranging access cards to HP facilities, booking conference rooms, sending invites, arranging hotel reservations at a larger team event
4. Be the overall contact person/”spider in the net” at the Program central based office
Primary Responsibilities:
• Maintain meeting calendar and join T1/T2 Mgmt team meetings to take minutes/action list, to be distributed within the team
• Read and monitor the PMO mailbox on a daily basis and cooperate closely with the rest of the PMO team
• Maintain the Internal SharePoint (standard, space and user access)
• Ensure standards are followed in Documentation management
• Maintain the T&T folders in the Extranet SharePoint to share documents with the Customer
• Consolidate the Project Dashboards on a weekly basis
• Coordinate and distribute the T1/T2 Newsletter
• Send the External version to the Customer
• Upload the Reports on SharePoint
Minimum Qualifications:
• 3+ years experience in Project Administration.
• Ability to work effectively in diverse, foreign and multi-cultural environments, on a Country, Regional or Global Level.
• Proficiency in MS Office Professional
• Experience with MS Project
• Demonstrated success working effectively under short timeframes and significant pressure.
Organizational Linkage:
• Reports to PMO manager.
• Liaises with all project tower leads and project managers.
